Urbanise’s latest market update has put another spotlight on the growing role of digital systems in strata and facilities management.
While the announcement is not an insurance product launch, it is highly relevant to owners corporations, strata committees and body corporates because the quality of building data is increasingly connected to the way insurance risks are assessed, priced and managed.

The broader message is clear: strata schemes that rely on scattered documents, incomplete maintenance histories and informal record-keeping may find it harder to demonstrate the true condition of their building when insurers, brokers or loss assessors ask detailed questions. By contrast, digital platforms that centralise building information can make it easier to track assets, repairs, contractor activity, compliance tasks and incident histories.

For Australian strata communities, this matters at three key points in the insurance cycle. First, it can support annual renewal discussions by helping committees explain what has been repaired, upgraded or risk-managed. Secondly, it can assist with insurance sums insured by keeping replacement-cost assumptions, valuations and building features easier to review. Thirdly, it can improve claims preparation, particularly where evidence of maintenance, prior condition or emergency response may influence how quickly a claim progresses.

This is an extension of earlier industry moves toward digital strata platforms, but the insurance angle is becoming more practical. Insurers are paying closer attention to water damage prevention, fire safety systems, defect management, storm exposure and building resilience. A committee that can produce clear, current records may be better positioned than one trying to reconstruct years of information after an incident.

Technology will not remove the need for careful policy review, nor will it guarantee cheaper premiums. Insurance pricing still depends on location, claims history, construction, catastrophe exposure, capacity in the market and insurer appetite. However, better information can reduce uncertainty, and uncertainty is rarely helpful when seeking suitable cover.

For committees considering their next renewal, the takeaway is to treat data management as part of risk management, not just administration. Useful steps include:

  • keeping current valuations, maintenance schedules and compliance certificates in one accessible system;
  • recording water leaks, repairs and defects with dates, photos and contractor notes;
  • reviewing common property assets before renewal season rather than after a claim;
  • ensuring the strata manager, committee and insurance adviser are working from the same records.

As strata insurance becomes more detailed and evidence-based, digital discipline may become one of the simplest ways for schemes to present themselves as well-managed risks.
